Who logs in where — your portals explained

NovatraCloud has more than one front door. Here is who sees what, and how to give each person access.

More than one front door

You — the owner — see the whole business. But the people you work with each get their own simpler view: your merchants, your riders and agents, your ad buyers, and your staff. Each person sees only what belongs to them. Everyone signs in at the same place and lands in the right view automatically. This page explains what each portal is, and where to give someone access. That last part matters: access is granted in **four different places**, each sitting with the feature that owns that person. There is no single "add portal user" screen.

1

Your merchants

**What they see:** their own Dashboard, My Inventory, My Orders and Analytics — their orders with you, and nothing about your other clients. **How to give access:** open **Merchants**. Either create the merchant with a portal login, or use **Enable portal access** on a merchant that already exists. You set their email and password, and you can reset it or switch it off later from the same place. **Useful when:** a client wants to check their own deliveries instead of calling you.

2

Your riders and agents

**What they see:** Dashboard, Deliveries and Remittance — the deliveries assigned to them, and what they still owe you. **How to give access:** you don't create this account yourself. An agent gets one automatically when you add them in **Settings → Agents/Locations**. **Worth knowing:** a rider sees only their own deliveries and only their own money — never another rider's. They confirm deliveries with a photo at the door and can report a failed attempt, also with a photo.

3

Your ad buyers

**What they see:** the orders their advertising produced, and how those orders performed. **How to give access:** **Settings → Ad Buyers**.

4

Your staff

**What they see:** attendance. This is for non-operational staff — media or marketing people who don't handle orders day to day. **How to give access:** **Settings → Team**, with the **Staff** role. If someone needs to handle orders, give them **CSR** instead.

5

The one rule: access follows the role

Everyone signs in at the same address. NovatraCloud works out who they are and shows them their own view. So if someone lands on the full business dashboard when you expected them to see a portal, the problem is almost always their **role** — not a broken link. Check the place that owns them: **Merchants**, **Agents/Locations**, **Ad Buyers**, or **Team**.

That's the whole map

Merchants, agents, ad buyers and staff — four portals, four places to grant access. If you're ever unsure who can see what, come back here. You can also ask Nova.
